Turing Scheme documentation
If you are confirmed to receive a Turing Scheme grant, you will need to provide certain documentation at the start and the end of the activity. Your grant payment can only be made once your risk assessment has been approved and you have completed and returned the required documentation outlined in the sections below. Please ensure you meet the stated deadlines for these documents. Failure to do so may mean you are no longer eligible to receive, or retain, a Turing Scheme grant.
Requirements are subject to change if additional information is required by the University or Delivery Partner in order to administer funding under the scheme.
The International Student Office will ask your Faculty/Department to confirm you have completed and had approved a risk assessment for your placement. We will also ask you to provide evidence of your University insurance cover for the period away prior to processing the Turing Scheme grant payment.
Year abroad students undertaking a study placement:
Sections 1 and 2 of the Learning Agreement should be completed and signed by you, your Faculty/Department and the host institution. The agreement outlines the proposed study plan to be undertaken during your time at the host institution. This should be returned to the International Student Office fully signed prior to starting your placement. If there are changes to the study plan during the placement, Section 3 should be completed to reflect this.
The Learning Agreement template you should use depends on whether you are studying in Europe or outside of Europe:
The only exception to this is if you are studying Russian at a language school in Europe, in which case use the ‘outside of Europe’ learning agreement as ECTS credits will not be awarded.
Year abroad students undertaking a voluntary internship:
The Learning Agreement for Internships should be signed by you, your Faculty/Department and the host organisation. The agreement outlines what you will be doing during the traineeship, the skills and knowledge you are expected to have acquired by the end of the internship and how you will be monitored and evaluated. This should be returned to the International Student Office fully signed prior to starting your placement. Changes can be made during the period abroad.
You will need to ask your host institution to complete a Certificate of Arrival and return it to the International Student Office to confirm you have arrived and are starting your placement.
You will need to return this within 2 weeks of starting the placement. If this is not possible, you will need to email the International Student Office to explain the circumstances within this timeframe.
Certificate of Arrival for year abroad study placement
This will be issued by the International Student Office once your risk assessment has been approved, you have returned proof of University travel insurance along with a fully signed learning agreement and certificate of arrival. The grant agreement will be sent by email. The agreement sets out the amount you will receive for the grant, and the terms and conditions attached to the funding. Information provided in the application will be used to issue the grant agreement. You are advised to read through it carefully. It should be returned to the International Student Office within 2 weeks of receiving it.
Year abroad students undertaking a study placement:
At the end of your placement, you will need to return to the International Student Office one of the following:
- Section 4 of your Learning Agreement completed by your host institution.
OR - A Transcript of Results from the host institution covering the study placement. If this does not include the start and end dates of your placement, you would also need the Certificate of Attendance completed by your host institution.
This should be returned to the International Student Office within one month of the placement ending. Students are expected to successfully complete the study plan outlined in their Learning Agreement. If, at the end of the placement, this has not been possible, the circumstances will be considered in consultation with the student's Faculty / Department.
Year abroad students undertaking a voluntary internship:
Internship certificate
This is Section 4 of the Learning Agreement and must be completed at the end of your period abroad by your host organisation. This should be returned to the International Student Office within one month of the placement ending.
You will need to complete a final report at the end of the placement in the form of a survey. A link will be sent at the end of the placement.
You will need to complete this report within one month of the end date for your placement.
Students undertaking a medical elective or an unpaid internship in the Department of Engineering during the summer will need to provide a Certificate of Attendance completed by your host organisation at the end of placement.
